Welcome to Easy Shop POS. Your privacy is important to us. This Privacy Policy explains how Easy Shop POS ("we", "our", or "us") collects, uses, stores, and protects your information when you use our application.
Easy Shop POS is designed for shopkeepers and small business owners to manage products, customers, sales, invoices, cash records, and business reports.
By accessing or using Easy Shop POS, you acknowledge that you have read and understood this Privacy Policy.
Easy Shop POS provides tools for managing shop and business operations, including products, inventory, customers, billing, invoices, sales, reports, and cash management.
This Privacy Policy describes what information may be collected, how it is used, where it is stored, how it is protected, and what choices are available to users.
When you manage your Easy Shop POS account, you may update certain account and shop information within the application.
If provided, the shop name, shop address, and shop phone number are included on receipts. These details may appear on receipts printed using a compatible thermal printer, shared as a PDF through supported applications such as WhatsApp, downloaded as a PDF, or saved/shared through the device.
Users can log out of the Easy Shop POS application. After logging out, users can return to the login screen and sign in again using their registered email address and password. Users who use the "Continue with Google" option can sign in using Google Sign-In.
After creating an account, users are required to verify their registered email address before accessing the main application. Until the email address is verified, the application keeps the user on the email verification screen.
Easy Shop POS provides customer support through WhatsApp and email. WhatsApp support is available 24 hours, while email support is available 12 hours.
Users can submit a support request by selecting a category and entering a description of their issue or request. After submission, the support request is assigned a support token. Authorized administrators can use the administrator section of the application to view support request tokens for handling customer support requests.
Easy Shop POS provides a Help and FAQ section containing 24 questions and answers related to the application and its features.
Users can choose between Light Mode and Dark Mode in the application settings.
Users can add tax and discount information during billing. Tax and discount amounts are displayed on the sales or checkout screen and are calculated in real time.
Tax and discount information included in a transaction is also displayed on the corresponding receipt. The receipt may include this information when printed using a compatible thermal printer, shared as a PDF, downloaded as a PDF, or saved through supported device functions.
Users can change their account password from the application. Before changing the password, the user must enter and verify their current password.
After the current password is successfully verified, the fields required to enter a new password become available. The user can then enter a new password and update their account password.
Users can permanently delete their Easy Shop POS account through the application's Account Deletion option available in Settings.
When the user selects the Account Deletion option, a separate Account Deletion screen is displayed. To confirm the deletion request, the user must select the confirmation checkbox and enter DELETE in uppercase letters in the confirmation field.
For accounts created using email and password, the user must also enter their current password in the account deletion confirmation dialog before the account can be deleted.
For accounts created or accessed using Continue with Google, the account can be deleted through the account deletion process shown in the application.
When the deletion process is successfully completed, the associated Firebase Authentication account and account-related data stored in Firebase Firestore are deleted as part of the account deletion process. Local Easy Shop POS application data on the device is also removed as part of the deletion process where applicable.
The deleted account-associated data may include:
Easy Shop POS does not maintain a separate application-level backup system for deleted user accounts.
When adding a product, users may provide the following information:
Product images can be selected from the device Gallery or captured using the Camera. Product images are stored locally on the user's device.
Users can enter a product barcode manually. If a product does not have a barcode, users can use a SKU for the product.
The product quantity can be entered by the user. The application can automatically set the stock alert level based on the entered quantity. For example, when the product quantity is 20, the stock alert level is automatically set to 10.
The barcode field includes a barcode scanning option. When the barcode icon is selected, a camera scanning screen opens. Users can scan a barcode using the device camera, and the scanned barcode is added to the barcode field.
When users open the Invoice History section, the application displays a Customer List. The Customer List includes a payment summary showing the total customer payments received for the selected period and the remaining unpaid amounts.
The Customer List includes a tab bar with the following time-period options: Today, Week, Month, and Year. Selecting a time period filters the customer data and displays only the data for the selected period.
The Customer List also provides a search bar and sorting options. Each customer is displayed in an individual customer card.
Each customer card includes a "View History" button. Selecting "View History" opens the Customer Bills screen for that customer.
The Customer Bills screen displays the selected customer's personal and payment information, including:
The Customer Bills screen also provides a search option and sorting options for the customer's bills and invoices.
The Customer Bills screen provides a "Pay All Manually" button. Selecting this button opens a separate Credit Payment screen for the selected customer.
The Credit Payment screen displays the selected customer's information, including the customer's name, phone number, and other available customer details.
The screen displays the customer's unpaid invoices, including the number of unpaid invoices and the total outstanding payment amount.
Users can select an unpaid invoice from the list to view its original receipt in the application's receipt format.
The original receipt can be printed using a compatible thermal printer. The receipt includes the QR code associated with the receipt and can also be shared as a PDF or saved to the device Gallery.
The Credit Payment screen provides a "Manually Pay" button. When selected, a payment dialog is displayed where the user can enter a payment amount. The entered payment amount is applied to the customer's outstanding invoices and the applicable invoice payment information is updated.
The Credit Payment screen also provides a "Pay All" button. After selecting "Pay All", a three-second cancellation period is provided. If the payment is not cancelled within this period, the outstanding amounts for all of the customer's invoices are marked as paid.
Users can select an individual unpaid invoice from the customer's invoice list to view its original receipt and related details.
The payment status and applicable payment information are updated according to the payment made for the selected invoice.
The customer details screen provides an "Edit Customer" option. Users can update the customer's name, phone number, and address.
The customer details screen also provides an "Archive Customer" option. When a customer is archived, the customer is removed from the active Invoice History customer list.
The "Export History" option allows users to export the customer's history and related information as a PDF. Selecting this option opens a bottom sheet with three options:
The Reports screen provides an overview of the user's business and financial information. Users can view total sales and a financial summary containing information such as:
The Reports screen also provides a Sales Overview graph that visually presents sales information.
The Reports screen includes settings that allow users to control whether tax and discount information is shown or hidden on the Reports screen. These settings are controlled using switch options.
The Export option allows users to export the Reports screen data as a PDF. A bottom sheet provides options to download the report, share it through supported applications, or share the PDF through WhatsApp.
The "View Detailed Report" option provides additional information about the user's products, including top-performing products and weaker-performing products. Users can view details for individual products from the relevant product lists.
The Scanner screen allows users to scan product barcodes using the device camera. When a barcode is scanned, the corresponding product can be added to the bill.
If a product does not have a barcode, users can search for and add the product using its SKU or product name.
Users can also use the manual product option to enter the required product information manually.
The Scanner screen provides camera scanning controls, including a flashlight option and an option to switch the camera when supported by the device.
The Scanner screen displays the quantity of products added to the bill. Users can increase or decrease product quantities, add products, or clear the cart.
Tax and discount information is displayed on the Scanner screen and is calculated and updated in real time as products are added or billing information changes.
The applicable tax, discount, product, quantity, and billing information is also reflected in the generated receipt.
The "Select Customer" option opens a customer selection screen where previously added customers and their payment status are displayed.
Users can select a customer and choose the applicable payment status for the current receipt, including paid or unpaid payment status, before continuing with the bill.
Users can add a new customer through the customer details screen. The customer information may include:
When adding a customer to a bill, users can select between Cash and Credit payment options. Cash is selected by default, while Credit can be selected when the transaction is intended to remain unpaid or outstanding.
Users can also apply a discount for the selected customer while creating the bill.
When a phone number is provided for a customer, the application uses the customer's phone number to identify that customer separately. If no phone number is provided, the customer is treated as a walk-in customer and does not have a separate customer identification based on a phone number.
After the customer and billing information are selected or entered, users can continue with the billing process and generate the receipt.
The View Products screen displays the products added by the user. Users can search for products using the search bar and can sort or filter the product list according to product price, including lower-priced and higher-priced products.
Each product provides an option to manage that product. Selecting the management option displays actions to edit or delete the selected product.
When a user chooses to edit a product, the Product Edit screen allows the user to update the product image, product name, barcode, selling price, cost price, and quantity.
For product editing, the product image can be selected from the device Gallery.
After the product information is updated, the updated product information is reflected in the View Products screen.
Users can select a product from the product list. After a product is selected, a delete option becomes available, allowing the user to delete the selected product.
The Cash Management screen provides an overview of the user's business cash and financial records. It displays today's sales, total investment, credit received, total withdrawals, available cash, opening balance, and closing balance.
The Available Cash section reflects the cash available from the user's recorded cash and credit payment activities.
When a customer makes a payment toward a credit or unpaid invoice through the Invoice History section, the received payment is recorded in Cash Management. The payment is reflected in the customer's payment information and is also added to the Available Cash and Credit Received records.
Users can add investment amounts through the Investment option in the Cash Management screen. Investment records are maintained as part of the cash management history.
Users can record withdrawals from the available cash. When a withdrawal is recorded, the Available Cash is reduced accordingly and the withdrawal is included in the cash management records.
The Adjustment option allows users to adjust the recorded cash balance when an adjustment is required. The resulting balance is reflected in the Cash Management records.
The Cash Management screen provides a history of recorded financial activities, including customer credit payments received, investments, withdrawals, and balance adjustments. Users can review the recorded amounts and related cash activity within the application.
The Cash Management screen displays the opening balance and closing balance to provide an overview of the recorded cash position.
The Low Stock Alert feature helps users identify products whose quantity has fallen below the automatically determined stock alert level.
The stock alert level is automatically determined based on the product quantity. For example, when the product quantity is 20, the stock alert level is set to 10. When the available quantity falls below the applicable alert level, the product is displayed in the Low Stock Alert screen.
The Low Stock Alert screen allows users to review products with low quantities. Users can select the quantity update option for a product, which opens a dialog where the product quantity can be updated.
Easy Shop POS does not provide a separate user-initiated or in-app backup system. When a user creates an account, the user's account-related data and business data are stored securely in the Firebase Firestore database and associated with their account.
If the app is uninstalled, the device is lost, damaged, or replaced, the user can reinstall Easy Shop POS and sign in again using the same account. Data that was previously stored in the database and associated with that account can then be retrieved and displayed in the app.
Product Images, Profile Images, and QR Code Images are stored locally on the user's device and are not stored in the Firebase Firestore database. Therefore, locally stored images may not be available after the app is uninstalled, the device is reset, or the local app data is removed.
Easy Shop POS requires an internet connection for most app features and functions. However, the app allows users to generate a receipt offline from the Scanner Screen using the Generate Bill option.
When the device is offline, the applicable offline receipt data is temporarily stored locally on the device using SharedPreferences. When the internet connection is restored, the applicable receipt data is synchronized with the user's account data stored in the database and becomes available through the app.
Other than receipt generation, the app does not provide offline access to its other features or data.
Easy Shop POS requests certain device permissions only when required for specific app features. The purposes of these permissions are described below:
The Camera permission is used to capture product and profile images, scan product barcodes on the Scanner Screen, and capture a QR code image for use on receipts.
Photos and Media access is used to select product and profile images from the device, and to select a QR code image from the Gallery for use on receipts.
On Android 11 and earlier versions, Location permission may be required when scanning for nearby Bluetooth thermal printers. Easy Shop POS does not use this permission to collect, track, or store the user's actual location.
Bluetooth is used to discover, connect to, and print receipts through compatible Bluetooth thermal printers.
Internet and network access is used for Firebase Authentication and Firebase Firestore data synchronization.
Easy Shop POS does not use the device microphone.
Easy Shop POS does not access the user's contacts.
Easy Shop POS does not access SMS messages or call logs.
Easy Shop POS primarily relies on its database for storing and retrieving the user's account and business data. SharedPreferences and local caching are also used throughout the app to improve performance, reduce unnecessary loading times, and provide a faster user experience.
Relevant data from different app screens may be temporarily cached or stored locally using SharedPreferences. This may include cached information displayed on screens such as Products, Reports, Cash Management, Customer List, Customer Bills, Credit Payment, Invoice History, Scanner, Settings, and other related screens.
For example, product lists, report information, cash management information, customer information, invoice and receipt information, and other relevant screen data may be available in local cache after being loaded from the database. On the Scanner Screen, certain temporary information, such as tax and discount values and product list data used during billing, may also be stored locally for faster access.
Receipt information may be loaded from the database and may also be temporarily available in the local cache. Similarly, when a receipt or invoice is opened from Invoice History, the relevant information is retrieved from the database and may also be cached locally to improve loading performance.
User profile information, including the user's name, account-related display information, and shop information such as shop name, may also be cached locally using SharedPreferences to reduce loading time. This local caching does not mean that these screens rely only on cached data. The app primarily depends on the database for the user's account and business data, while local caching is used to improve performance and provide faster access.
Profile images, product images, and QR Code images are stored locally on the user's device. These images may also have locally stored references or cached information through SharedPreferences or the app's local caching system to help display them without unnecessary loading delays.
Local cache and SharedPreferences data are stored on the user's device and may be removed when the app's local data is cleared, the app is uninstalled, or the device is reset. Local caching does not replace the user's primary database data.
Easy Shop POS does not use any third-party services or SDKs other than the Firebase services required for authentication, database functionality, and related app operations.
Easy Shop POS does not use third-party analytics, advertising, tracking, crash reporting, or other external data collection services.
Easy Shop POS does not currently use any push notification or local notification system.

Easy Shop POS does not sell, rent, or share users' personal or business data with third-party companies or services.
User data is used to provide and operate the application's features and services.

Administrators can access the administrative support area through a restricted admin entry and can only view and read the support tokens submitted by users for support purposes.
Administrators do not have access through this system to users' profiles, products, customers, invoices, cash records, or other business data.
Each user has a unique User ID, and the user's account and business data are associated with that User ID.
Users can access only their own account and business data. One user cannot access another user's products, customers, invoices, cash records, or other account-related data.
Easy Shop POS does not use analytics or tracking systems to monitor users' app usage or activity.
The application does not use Advertising ID or similar tracking mechanisms for user activity tracking.

Users can manage and update certain information within the application.
Easy Shop POS does not provide a separate user-initiated backup system or a separate backup feature within the application.

Easy Shop POS is not designed for children and is intended for users aged 18 years and older.
We do not knowingly design or direct the application toward children.
We may update this Privacy Policy when application features, data practices, services, or legal requirements change.
